“Recently both of our  schools went through Registration and Accreditation with NESA. What became clear to us through this process was the challenge we faced as an organisation in managing the versions of each policy, the policy review process and the rigour we are wanting to apply, as well as keeping track of staff members progress in policy reading. We had a software solution that wasn’t working for our particular set of circumstances. As an operator of independent Christian Schools partnering with Christian Education National (CEN) we were bringing our own policies (primarily through CEN) and were looking for a solution to streamline and automate the processes and tasks associated with them.

We implemented CHALK across both our schools during Term 4 2020 and now have all our policies and procedures in their easy to manage platform. The system provides automated workflows to ensure each document is periodically reviewed and updated by the right people within our organisation, with all our workflows and approval processes built into the platform.

For the policies and procedures that contain tasks for our staff members to complete, our administration team now has the tools to manage the activity from end to end. This includes tracking and verifying that tasks have been completed correctly, and the sending of pre-set reminder/follow up emails and notifications to any staff members who have not completed their tasks.

The policy and process management modules of CHALK have already saved our administration team significant time and reduced our reliance on ineffective paper forms and manual processes. At the same time, we have improved the quality of our internal processes and increased compliance and adherence to our school’s policies and procedures. We have also managed to have our induction largely completed online before staff commence with us.

During 2022, we implemented the Recruitment and Onboarding and functionality, which ensures that we follow our documented HR and Recruitment policies at the same time as automating them. These modules have digitised our existing processes which relied upon the expertise of key staff members, whilst improving the experience of our hiring managers, candidates, and employees.”
